Antiques in the Gardens Preview Party Thursday, July 23 5-8:00 p.m. For all those who volunteered at last year’s Antiques Preview Party and for all those contemplating to join us in 2009, this instantly turned into one of those volunteering opportunities you don’t want to miss! The event takes many volunteers to execute, but the shift times are designed so that volunteers can enjoy the party, too! This year, there is a 5:00 Champagne Hour entry for Sponsors and special guests, and a 6:00 entry for all others. Volunteers Needed:
- ) Preview Party Overseer: 1 (or 2, working as a well-oiled team!)
Job Description:
• Coordinate Antiques Preview “decorations,” which are more of a landscaping effect since the caterers will be handling the tabletops and food aspect. Contact Bob Boyd from Boothbay Region Greenhouses who, in the past, has delivered loaned, potted bushes. Decide number of and placement of such. Include tabletop things for registration tables. • Check in periodically with the Beverage Stations, tended by volunteers, for supplies • Help direct volunteers during the event
- ) Beverage Assistants - 15
Job Description: This job encompasses several different areas of the event—you may be serving non-alcoholic drinks at our own Gardens bars, you may be pouring the wine, beer, and spirits from the companies who are donating their product, or you may be refilling the water jugs and emptying the buckets of dirty water that people use to clean out their glasses. This job may be a floating job or it may be stationary at one place for the whole evening. Closer to the date of the event we will place you at specific jobs for the evening. Time Commitment: 4:30-8:30 p.m.
- ) Musicians: 3
Job Description: I am hoping two of our very talented musicians (You know who you are!) return for an encore performance of last year, but in any case, are you a volunteer who plays an instrument in solo (or in duo!) willing to play classical for this event? It adds so much and brought rave reviews last year from participants. Musicians don’t play continually, of course, so on breaks, there is time to “go enjoy the party.” Time Commitment: 4:45 – 8:00ish
- ) Check-in Reception Tables, headed by Gabrielle DiPerri, Gardens staff member: 16 (8 volunteers per shift)
1st admissions entry: 5:00 2nd admissions entry: 6:00 Job Description: 2 volunteers to greet and check registrations 2 volunteers seated at tables (site TBD), check people in using the registration list (There are no “tickets.”). As the incoming crowds wane, take turns out in the tents helping tidy and tend to the bars and dishes and “busing” tables throughout the site while you enjoy the party. 2 volunteers seated at the tables at the entrance to pass out program and gift bag. 2 volunteers tend the “gate” (actual entrance) so that 5:00-ers gain their entry, while holding back 6:00-ers for their entry time. Time Commitment: For first shift: 4:00 – 6:30+ For second shift: 5:30 – 7:30+ *At this site, there will be volunteer champagne pourers with glasses for the 5:00 entry of Sponsors and special guests.
- )Walkers: 6
Job Description: Walkers get to socialize (!) as they tidy and pick up areas that are in need of some attention, including after 8:00 during pick-up time with Gardens Staff. There is no heavy lifting, and there is no need to create shifts, as this is a very leisurely but important volunteering opportunity – picking up has never been

take US Route 1 to Route 27 and turn south to Boothbay, 9.3 miles. In the Boothbay town center bear to the right of the Civil War monument. Proceed straight through the stop sign and then take a right onto Barters Island Road (about 1/2 mile). The entrance to the gardens will be one mile on the left.
