Volunteer Opportunity Details:

The Fair is approaching quickly, and as always, volunteers are the key to making this event a success. With 200 exhibitors and over 60,000 patrons, time, effort and enthusiasm donated by supportive community members like yourself make Lexington’s largest outdoor event a meaningful experience for residents of Bluegrass.
Please read through descriptions of our volunteer positions below and email your top 3 preferences, plus your availability, to Julia Curiel, Fair Coordinator at jcuriel@lexingtonartleague.org.

NOTE: At the start of your shift, please check in at the Volunteer Tent next to the LAL Information Booth (see Fair Map). All volunteers report to the Volunteer Coordinator, Daryle Janisch, and the Assistant Volunteer Coordinator, Matthew Zimmer.

Award Ceremony Assistants
Assist the Marketing Coordinator in implementing the Award Ceremony Saturday evening by serving food and beverages, setting up, cleaning up and showing the artists a good time. In addition, give artists directions to the reception site and answer questions regarding the ceremony. Shifts begin Saturday afternoon.

Booth Sitters
Relieve artists who may need a break from their booths. Be responsible for selling artwork, handling money and answering questions, as needed. Ask each individual artist for special instructions. With a friendly attitude, interact with the public and ensure a positive atmosphere. Shifts begin early on Saturday: distribute cards to artists so that they can call the Volunteer Tent for a Booth Sitter, when necessary. Between assignments, report back to the Volunteer Tent.

Exhibitor Assistants
Help artists to set up their booths on Friday during Load-In and on Saturday morning before the Fair begins. On Sunday evening, aid artists in breaking down booths to prepare for departure from the grounds. Unload and load vehicles, set up and/or break down tents and/or watch booths while artists park their vehicles. In addition, help to enforce the Load-Out Ticketing System, whereby artists will be granted tickets once they’ve finished breaking down their booths which will allow them to pull up their vehicles and begin loading their merchandise for departure from the grounds. Communicate to the artists the need for a safe, efficient load-out process.

Information Booth Assistants
Maintain organization by sharing information with artists and the public: access KidZone schedules, emergency phone numbers, artists’ booth locations and Fair policies. Communicate to patrons all aspects of the Lexington Art League (LAL) and the Fair. Sell raffle tickets, memberships and distribute maps and schedules. Answer any Fair or LAL-related questions from the public. Assist artists by answering questions and fielding concerns.

KidZone Assistants
Keep a lively, fun atmosphere available to participating families. Assist the KidZone Coordinator in implementing KidZone. In between art projects, help KidZone Sponsors to set up and clean up. Answer questions from KidZone Sponsors and work with the participating children to create artwork.

Load-Out Inspectors
Assist in protecting the public: inspect booths of artists who wish to retrieve their vehicles during load-out on Sunday evening at the close of the Fair. First, ensure that booths are completely broken down. If booths clear inspection, with merchandise in boxes and all items prepared for loading, give artists tickets that they will then use to gain passage to their booth sites with their vehicles.

Load-Out Patrol Officers
Assist in protecting the public: enforce the Load-Out Ticketing System policy by ensuring that artists adhere to the following procedures. Remain stationed at an assigned Fair entrance. Until 6 PM, restrict exhibitors’ vehicular passage unless given a Load-Out Ticket by an exhibitor.

Patron Greeters
Provide a cheery start to each patron’s experience. Receive an apron during Check-In at the Volunteer Tent to hold LAL membership brochures, Fair maps and other printed materials. Remain stationed at an assigned Fair entrance to help patrons find their way around the grounds. Offer all arriving patrons LAL membership brochures and Fair maps. Return the apron to the Volunteer Tent after the shift for the next Patron Greeter.

Parking Monitors
Help the Fair-going public to have a positive experience by enforcing the following crucial policy. Shifts begin at 8:00 AM on Saturday and 9:00 AM on Sunday. Patrol the park to ensure that all artists/exhibitors have their vehicles off-site by 8:30 AM on Saturday and by 9:30 AM on Sunday. Ensure that no one parks in non-designated areas: artists must park their vehicles in the softball field below the pool at the park, unless it is raining, in which case they must park on the street and dolly their work onto fairgrounds. Each artist must have an Exhibitor Parking Pass for the softball field.

Shuttle Greeters
Support the public’s transportation needs by answering questions and providing a point person for the shuttle option. Remain stationed at a designated parking location in Lexington (American Founders Bank and/or the Lexington Transit Center). Greet Fair patrons, let them know that they may park in the area and that the shuttle will pick them up and take them directly to Woodland Park. Shuttles arrive every ten minutes and run during the hours of the Fair.

Volunteer Tent Monitors
Be responsible for checking in volunteers and sending them to their correct assignments. Hand out volunteer nametags, volunteer job descriptions and any special material or equipment needed for specific responsibilities. Ensure that Booth Sitters pass out Booth Sitter cards to all artists on Saturday morning. Notify Booth Sitters of relief requests from artists.

Training will be provided. There may be age requirements for certain positions.
