This position is part of the dynamic Friends Used Books Stores "virtually all-volunteer professional" team. The Friends of Ferguson Library is a congenial, hard-working group dedicated to the love of books and the importance of community libraries. This is a fascinating, fun, team-supported opportunity. Our Shops not only fund Friends and Library activities, they also act as vibrant, busy community gathering places. The Administrative Assistant will support the Book Shop management to (for example): • Coordinate and assist in producing annual reports, statistical reports, forms management, newsletters, operating manuals, signage, name tags, databases and similar production needs. • Assess inventory and fill requests for office and shop supplies, including forms, as needed. • Ensure proper operation of printers, copiers, faxes, phones, etc., through scheduled maintenance. Follows-up on renewal of maintenance contracts (this may be in conjunction with the Library business office manager). • Run local errands (e.g. printer), photocopy, mailroom, etc. • Coordinate with vendors. • Assist with correspondence and file maintenance. • Conducts research, drafts/edits routine correspondence and arranges meetings as requested. • Additional tasks and research as requested. • Share in answering the workroom phone. • Confer with the Shop Manager, and/or Volunteer Coordinator regarding possible improvements, suggestions, issues, etc.
Expect to spend about 3 to 6 hours on-site per week, during weekday business hours. Since everyone's hours vary, be prepared to communicate at other times by email and phone. Advancement possibilities. We will train. All scheduling and most communication is done on line at your convenience. Team support provided for times you must be away. This position requires a professional presence, strong interpersonal skills, a team attitude, willingness to take direction from a variety of others, and comfort with juggling multiple tasks at a time. Good computer skills a must (we will train to our specifics) Word, Excel and Outlook a must. Power Point, photo and graphics a plus Able to be on one's feet during the entire shift, if necessary Fast learner Sense of humor
